A software based diagnostic tool may need all buttons, error messages, confirmation screens, and help text localized without breaking display layouts or usability.

The best localization strategy begins during product development. If software, labeling, and documentation are designed for multilingual use from the start, manufacturers reduce later rework, formatting problems, and compliance delays.

Quality Management and Compliance Expectations

Medical device localization should be controlled under a quality management system, commonly aligned with ISO 13485. This means the process should be planned, documented, reviewed, approved, and traceable. Regulators and notified bodies may expect evidence that translations were performed by qualified personnel and verified for accuracy.

A compliant translation workflow often includes:

  1. Source content review: Finalize and approve the original text before translation begins.
  2. Terminology management: Create approved glossaries for device names, warnings, anatomical terms, and interface labels.
  3. Professional translation: Use translators with medical device, regulatory, and target language expertise.

A better approach combines linguistic review with technical, clinical, and regulatory review. The goal is not merely to reproduce words, but to ensure that the intended user can act safely and correctly.

Localization should be connected to the manufacturer’s risk management process, often based on ISO 14971. Any information that helps control risk must be translated with special care. This includes contraindications, warnings, alarm conditions, cleaning instructions, sterilization steps, maintenance requirements, and disposal instructions.

Manufacturers should build language requirements into regulatory planning, product design, supplier qualification, and launch schedules. This prevents rushed translation at the end of the approval process, when errors are more expensive and harder to correct.
